This privacy policy outlines how we collect, use, store, and protect your personal information during the recruitment process, in accordance with the EU General Data Protection Regulation (GDPR), the UK GDPR, the UK Data Protection Act 2018, and the Irish Data Protection Act 2018.

3. Legal Basis for Processing

We process your personal data based on legitimate interests and by collecting your consent prior to processing your personal data and, where applicable, to comply with our legal obligations.

As part of the recruitment process, you may choose to disclose information about a disability or health condition to enable us to put in place any reasonable adjustments or support required. This information constitutes special category personal data and will only be processed with your explicit consent. Such data will only be shared strictly on a need-to-know basis and only with relevant individuals (for example, hiring managers, DB’s Occupational Health team and our Health & Safety team) to facilitate reasonable adjustments during the recruitment process. Where you apply for a specific job role, we will generally retain your data until the end of the application process. We do not use this information in any hiring related decision making at a later stage.

4. Data Sharing

As described above, your personal data may be shared internally with members of the HR and recruitment teams, as well as third party recruitment partners such as Robert Walters. We will not share your information with third parties unless required by law or with your consent.

5. Data Security and Retention

We take appropriate technical and organisational measures to safeguard your data against unauthorised access, loss, or misuse. Your data will be retained only for as long as necessary to fulfil the recruitment purposes or comply with legal requirements. Unsuccessful candidate data will normally be deleted after six months, unless you consent to us retaining your details for future opportunities.

6. Your Rights

You have the following rights regarding your personal data:

  • Access to your data
  • Rectification of inaccurate or incomplete data
  • Erasure of your data (“right to be forgotten”)
  • Restriction or objection to processing
  • Data portability
  • Withdrawal of consent at any time, where applicable
